Payments connected to the PMS

Payment links, tokenization, and advances without leaving the reservation process

The real intent is not just “taking online bookings”. The hotel needs to secure bookings, reduce no-shows, securely store a card and have every movement recorded within the PMS.

Hotel payment link

Advance payments before arrival

Send a payment link for deposits, partial prepaid bookings, non-refundable rates, or reservations that require a guarantee before check-in.

Card tokenisation

Card saved without processing the sensitive data

The guest inserts the card into the reader. LEAN receives the token and associates it with the reservation for future authorized charges.

Automated PMS payments

Rules for charging according to policy or channel

Configure automatic shipments by agency, sales conditions, cancellation policy, or arrival date, without relying on manual tasks.

Traceability

Balance, advance payment and history in the reservation

Each link, status, charge, error, or token is visible in the PMS for receipt, management, and reporting.

The problem

Managing offline collections with the PMS is manual labor and operational risk

Calls to request card details

Asking for card details by phone is neither operational nor convenient for the guest. Tokenization allows you to request a card from a secure link without the receiving party having to manage sensitive data.

Invoices without traceability in the reservation

When payment arrives outside the PMS, reception must record it manually. This opens the door to errors, duplicates, misaligned advances, and reservations with the balance not updated.

Advances that don't arrive on time

Without automatic rules, pre-check-in charges depend on someone remembering to send the link. No-shows, cancellations, or non-refundable rates can arrive before the charge is made.

"

Every charge outside the PMS is a gap in the accounting and a blind spot in the reservation.

Hotels that manage payments outside the PMS accumulate discrepancies that are only detected when closing the cash register. With LEAN PMS, Each payment link sent is recorded in the reservation: who sent it, to which email address, for what amount, when it was paid, and which accounting document was generated.

No calls to request a card Total traceability Planned advances Automatic registration
How it works

It is decided whether to charge, tokenize, or authenticate.

LEAN is responsible for the flow.

Each link has a specific purpose: to collect a fee, tokenize the card for future charges, or collect and authenticate at the same time. The shipment can be made from the reservation, in bulk, or through automatic rules.

The three available actions

Tokenizing

Send a link for 0 euros so the guest can securely register their card. There is no charge; the card is kept on file for future charges.

Collecting using an existing token

If the reservation already has a tokenized card, LEAN charges directly. If there is no token, it automatically sends a payment link to the guest for the set amount.

Collecting and authenticating

The guest receives a payment link for the defined amount. Upon completing the payment, the card is tokenized in the reservation at the same time.

1

Decides when and how

You send the link manually from the booking, at check-in, or in bulk, or you set up an automatic rule to send it at the time you choose: when creating the booking, days before arrival, according to the agency or the cancellation policy.

2

The guest acts from their email address

The guest receives an email with the link and enters their card details in the payment gateway integrated with LEAN. No calls, no physical terminals, no data transmission over the phone.

3

LEAN updates the reservation only

The platform notifies LEAN in real time. Depending on the configured action, the PMS registers the token in the reservation, creates the advance payment or both. Everything is recorded in the history: who sent the link, to which email, what happened and when.

What is included

Everything that LEAN manages for billing and tokenization

Manual shipment, automatic programming, complete tracking and traceability during the reservation.

Sending links from the reservation

Send payment links or tokenization from the booking details, during the booking creation or from check-in. Also in bulk by selecting multiple bookings at once.

Automatic payment rules

It configures rules with conditions (agency, cancellation policy, sales conditions with Vertical Booking...) and an action: tokenizing, charging with an existing token or charging and authenticating. LEAN runs the task at the time you specify.

Shipping from group reservations

Access the payment modal via the group booking and manage all group payments from a single point. LEAN generates individual alerts for each group booking.

Automatic billing of charges

Configures one or two types of invoice for payments received via link. If the first fails, LEAN uses the second one. If both fail, it creates an advance receipt. If the option is not activated, it always creates an advance receipt.

History and traceability in the reserve

Every link sent, every payment received, every tokenization and every error is recorded in the reservation history: who sent it, to which email, for what amount, the status and the date.

Error alerts and task panel

If a payment fails or a link cannot be sent, LEAN creates an alert in the reservation with the reason. The scheduled tasks panel shows all active and inactive tasks, with the option to deactivate, reactivate, or edit.

Customizable email templates

Customize the email that the guest receives with the payment link. You can create several HTML or plain text templates and designate one as the default base template for automatic rules.

Compatible catwalks

LEAN integrates with virtual payment gateways through LeanBus. The specific availability of gateways is confirmed during the commercial process according to the needs of each establishment.

Balance visibility and active links

The reservation summary shows the countdown until the active link expires. If there are several pending links, LEAN shows the number of links and the total amount requested.

Use cases

When it makes sense to use billing and tokenization in a hotel

The functionality is not designed only to collect a reservation. It serves to control common situations where reception, reservations, and administration require security and traceability.

Non-refundable rates and reservations with prepayment

Send or automate the collection when the reservation is made with a policy requiring advance payment. If the card is already tokenized, LEAN automatically charges with the existing token.

Non-refundable Prepaid Advance payment

Reservation guarantee and reduction of no-shows

Request a tokenized card or partial payment before arrival to validate higher-risk bookings, long stays, or peak occupancy dates.

Guarantee No-show High demand

Group reservations and split billing

Manage payment links for multiple reservations linked to a group, keeping track of each guest, amount, and status from the PMS.

Groups Events Multiple reservations

Extras, consumptions and subsequent charges

When a token is associated with the reservation, the hotel can manage subsequent authorized charges without requiring the guest to re-present the physical card.

Extras Consumption Post-stay
What changes

Fewer calls,

more control over each payment

The hotelier decides the action. LEAN executes, records, and alerts. The guest acts from their email without passing any data over the phone.

The collections happen at the right time

With automatic payment rules, LEAN sends the link according to the conditions you define: agency type, cancellation policy, days before arrival. The team doesn't have to remember it or do it manually.

Everything is recorded in the reservation

Every link sent, every action of the guest and every notification from the gateway are recorded in the reservation history. If something goes wrong, LEAN generates an alert with the reason. No gaps, no manual records.

The tokenized card becomes available for future charges

When the guest tokenizes their card through the link, the hotel can make subsequent charges without needing the physical card: consumption, extras, or damage after check-out, always with the token already stored in the reservation.

Automates collections and tokenization from LEAN PMS

Payment links, card tokenization, advances, and the traceability of charges connected directly to the reservation.

Frequently asked questions

FAQ about billing and tokenization in a hotel PMS

Common doubts about payment links, tokenized cards, automatic billing, and the traceability of payments in hotel bookings.

It is the process by which the actual card data is replaced by a token managed by the payment gateway. The hotel does not need to manipulate or store the full card number, but it can associate that token with a reservation for future authorized charges.
The payment link requests a specific amount from the guest. The tokenization link can be used to register a card without charging at that time. LEAN also allows combining both actions when the hotel wants to charge and leave the tokenized card.
Yes. LEAN allows you to configure rules to send links or execute billing actions based on conditions such as agency, cancellation policy, arrival date, or sales conditions. The result is recorded in the reservation.
The PMS records the status of the link and generates alerts when there are errors, expired links, or pending actions. This way, reception can act without having to manually review the payment gateway.
Tokenization reduces the hotel’s exposure to sensitive card data because the actual data is managed by the gateway or payment provider. The specific compliance configuration depends on the gateway, the provider, and the integration used.
