Traceability in PMS

A history of reservations designed to operate, review, and audit

The traceability of reservations isn’t just about storing data. It’s about being able to reconstruct every change in a stay: who made it, when it happened, and how it affected the hotel’s operation.

History of booking changes

Records changes in rates, status, room types, dates, charges, notes, payments, alerts, and links so that reception does not depend on internal conversations.

User, date and time

Each movement is associated with a specific user, date, and time. This helps coordinate shifts, review incidents, and avoid confusion about who made each change.

Actions of integrations

The changes generated by external systems, automations, POS, CRM, POK or Front Desk Apps are also reflected within the booking history.

Support for internal auditing

When there is a claim, an operational review or a breakdown, the team can consult the complete record without manually reconstructing what happened.

The problem

What happened to that reservation? Who made that change in the PMS?

Changes without a trace

A modified rate, a room reassigned, an added charge. If there is no record, finding out what happened depends on the memory of the person who was at the reception desk.

Not knowing who acted

In teams of several receptionists, assigning an action to a specific user is impossible if the system does not register it automatically.

Audits without support

In the face of a complaint from a guest or an internal review, without a detailed history, one can only reconstruct the facts from scratch.

External actions without visibility

When a POS, CRM or kiosk modifies something in the reservation, those changes must also be recorded along with the rest.

What LEAN solves

The booking panel and the history of each booking provide full visibility of the operation: who does what, when, and from which system.

Reservation panel

Full view of all hotel reservations with quick and advanced filters. Pending check-ins and check-outs, booked, unassigned and non-refundable at a glance.

History of each reservation

Each action is recorded with date, exact time and responsible user. Creations, status changes, charges, applied rules, links: everything in chronological order.

Integrated systems

The changes made by other solutions (POS, CRM, POK...) appear in the history just like those made by the reception team.

How it works

From creation to check-out,

Everything is recorded in the history.

The history is built by itself, without anyone having to do anything.

1

Reservation panel

Locate any reservation with quick and advanced filters. The color-coded traffic light alerts you to pending charges or active alerts on each row of the panel.

2

Reservation details

When you open a reservation, you access its details: guests, charges, history, and more. All the information about the stay in one place.

3

Chronological history

The History tab displays each action grouped by date, with exact time and responsible user. The system generates them automatically, without any intervention from the team.

What is included

Everything LEAN records for you

From the creation of the reserve to check-out, every movement is recorded without the intervention of the team.

Booking panel with advanced filters

Find any reservation in seconds thanks to multiple search filters, both quick and advanced, adapted to how the reception team works.

Full history of each reservation

Each action on the reservation is recorded with the date, exact time and responsible user, so that you can always have visibility of everything that has happened.

Real-time state light

Reservations appear in red if they have unpaid charges to be billed, in yellow if they have unmanaged alerts, and in white if everything is in order.

Actions from external systems

The changes made by other solutions (POS, CRM, POK...) are recorded in the history just like those made by the reception team.

Full details of the reservation

Customer data, dates, status, PAX, room type, extras, supplements, locator, rate, cancellation policy, breakdown of charges and unused advance payment.

Internal notes by user

Each receptionist can leave notes in the reservation that are visible to the entire team. Each user manages their own notes, with permission controls to remove notes from others.

What is it for?

Less uncertainty,

more control

Knowing exactly what happened, when it happened, and who did it changes the way any incident is managed.

Resolving incidents without assumptions

When a guest claims a charge or a room change, the history shows what happened, when it happened and who was involved. Without asking the team or rebuilding from scratch.

Clear responsibility for the user

Each action is associated with the user who performed it. In teams with several receptionists per shift, this allows for accurate tracking of activity without manual audits.

Audits with all the information

The history is always available and not expired. Before any internal or external review, LEAN provides the complete record of what happened in each reservation, including movements of integrated systems.

Use cases

When traceability of reservations adds value

The utility is especially useful when several people, departments, or systems are involved in the same reservation.

Complaints from guests

If a guest asks for a room change, an additional charge or a rate change, the team can check the history before responding.

Reception and internal coordination shifts

When several receptionists, supervisors or teams work at different times, the history prevents information from being lost between shifts.

Reservations modified by connected systems

The actions resulting from integrations or automations are documented to differentiate what a person did and what the system executed.

Operational control for groups and chains

In hotels with high volume or multiple properties, traceability allows for reviewing incidents with more context and maintaining homogeneous control criteria.
